Best certified notification methods in 2026: what proof matters

Compare postal burofax, qualified trust services and ordinary email. Know what constitutes evidence before sending an important notice.

Shortlist by real use case

A document draft, proof of transmission and proof of receipt are three different things. For a formal notice, choose the channel based on recipient, jurisdiction, timing and the exact evidence that a provider can actually issue.

This is a use-case comparison, not a laboratory benchmark or a claim that the first listing wins every situation. We cite provider and public references, identify our own tool, and avoid untested ratings.

1. Postal burofax through an authorized operator

A channel to investigate when you need a provider-operated delivery process with content and delivery evidence. Inspect the operator's conditions, recipient details and what happens if delivery fails.

2. Electronic trust services under eIDAS

Electronic registered-delivery or trust services have distinct legal characteristics. Use the European Commission's trusted lists to identify listed providers and confirm which specific service and evidence the supplier offers.

3. Ordinary email with a saved copy

Simple email may help with informal matters, but do not treat an outbox screenshot as equivalent to a provider-issued certified delivery receipt. Preserve attachments and replies if this channel is appropriate.

4. BurofaxCloud: our own product, disclosed

BurofaxCloud (our product) helps draft and review notification text, recipient details and evidence checklists. It does not currently send certified messages, time-stamp them or issue legal certificates. Never tell a recipient that a draft was served.

The introductory questionnaire and the subscription workspace offer different levels of access. Verify the visible trial, renewal and cancellation terms before any payment; this editorial guide is freely readable.

How the options were compared

Assess actual service jurisdiction, identity checks, evidence types, recipient handling, archiving and the burden of proving the result. These are legal process characteristics, not a price-only shopping comparison; verify the official procedure before acting.

We did not independently verify current prices, conversions, delivery rates or user satisfaction across all vendors. Features and availability may change; confirm the relevant official source and your exact country before purchasing.

Questions worth answering before buying

Can a prepared PDF prove receipt? No. Is every electronic delivery qualified? No; check the specific service. Should you use legal advice for deadlines? Yes when rights or limitation periods may be affected.
